Litigation Legal Assistant

We are currently seeking an experienced Litigation Legal Assistant to undertake a variety of administrative and clerical tasks.

General Summary

Under the direction of the Office Manager and Firm attorneys, is responsible for enhancing attorney effectiveness by providing informational, clerical, and technological support as needed to the attorney and Firm. Under general direction, assists attorneys and paralegals in managing all facets of litigation including the discovery process, document collection and preservation, document review, document production, and maintaining the electronic case file. The work is specialized and requires knowledge of the preparation and processing requirements of legal documents, legal terminology, civil procedures and discovery, and the court system.

Essential Functions

  • Compose a variety of correspondence and type a variety of legal documents for which knowledge of legal terminology, civil procedure and discovery is required.
  • Transcribe legal digital dictation, compile data for exhibits, correspondence, and reports.
  • Proofread, redline, and edit documents prepared by assigned attorneys. Must ensure accuracy, comprehension, and overall grammar and punctuation.
  • Open and maintain legal files according to accepted legal practices and Firm policy. Provide case management assistance. Create and maintain attorney client matter lists. Docket crucial litigation, track litigation, and other deadlines.
  • Maintain attorney calendar by planning and scheduling conferences, teleconferences, depositions, court reporters, and travel; record and monitor court appearance dates, pleadings, and filing requirements; monitor evidence gathering and discovery responses; stay current on changes in litigation requirements.
  • Process time sensitive state and federal court filings with sense of urgency; knowledge of electronic filing requirements and software required.
  • File correspondence and legal documents in office filing system and document management system as required. Ensure proper indexing and filing of original legal documents and pleadings for easy and efficient retrieval.
  • Process billing, time entry, and expense reimbursements via internal accounting processes.
  • Organize and copy documents produced for opposing attorneys and for trial exhibits.
  • Compose and type routine correspondence.
  • Perform other duties: scheduling appointments, coordinating meetings and agendas, and providing information to callers.
  • Conserve attorney time by reading, researching, reviewing, verifying, and routing correspondence, reports, and legal documents; draft letters and documents; collect and analyze information; initiate telecommunications; organize client conferences and attorney meetings; schedule couriers, court reporters, expert witnesses, and other special functions; coordinate preparation of charts, graphs, and other courtroom visuals; prepare expense reports.
  • Perform other duties as assigned within the scope of the job description.

Required Minimum Qualifications:

Education: High School Diploma required with additional education preferred.

Experience/Skills:

  • Five or more years' experience of litigation legal support.
  • Possess excellent written, verbal, proofreading, grammar, editing and math skills.
  • Competently operates office equipment including computer, fax, calculator, scanner, copier, and telephone system.
  • Be responsible, organized, detail-oriented and possess critical thinking skills.
  • Knowledgeable regarding federal, state, and local court filings (including e-filings)); able to generate TOC and TOA.
  • Skill in writing grammatically correct routine business correspondence such as brief transmittal memoranda.
  • Comprehensive knowledge and experience with the following software programs preferred: Microsoft Office (Word, Outlook, Excel, and PowerPoint) and Adobe. Knowledge of SharePoint and Teams also helpful.
  • High production skills. Possess editing skills to correct grammar, spelling, and punctuation.
  • Independent worker with minimal supervision, ability to prioritize and complete multiple tasks in a timely manner.
  • Ability to interact professionally with all levels of employees.
  • Ability to use good judgment to make decisions appropriate to level of responsibilities.
  • Ability to learn new skills and systems quickly.
